Dynamics 365 Field Service : Schedule and visualize pools, crews, and Requirement groups on the schedule board

In Dynamics 365 Field Service, the Schedule Board serves as a central hub for managing and visualizing resource allocations, including pools, crews, and requirement groups. Here's an overview of how each component functions within the Schedule Board:

Resource Pools

Resource pools are collections of interchangeable resources grouped together to fulfill service requirements. 

Key aspects include:

  • Creation and Management: Define a pool by grouping resources through the Bookable Resource Group entity. Each pool member inherits attributes like location and skills from the pool.
  • Scheduling: When booking a requirement, the Schedule Assistant can suggest the pool as a resource if the work can be distributed among its members. For instance, a one-hour task can be split between two resources available for 30 minutes each.
  • Visualization: On the Schedule Board, apply filters to view pools. Right-clicking a pool allows you to view its members and manage bookings. Bookings can be assigned to the pool or directly to individual members

Crews

Crews are predefined groups of resources that work together on specific tasks. Important features include:

  • Structure: A crew consists of multiple resources, with one designated as the leader. Crew members can be added through the Bookable Resource Group entity, specifying their role and availability.
  • Scheduling: Assigning a work order to a crew schedules all its members simultaneously. This ensures coordinated efforts, especially for tasks requiring multiple personnel.
  • Visualization: Crews appear on the Schedule Board with distinct icons. A gray area indicates the time range a resource is part of a crew, aiding dispatchers in recognizing group assignments.

Requirement Groups

Requirement groups enable the scheduling of multiple interdependent resources for complex tasks. Key points include:

  • Creation: Define a requirement group by grouping multiple resource requirements that need to be fulfilled together. This is useful for scenarios where tasks are interconnected.
  • Scheduling: Use the Schedule Assistant to find available resources that can collectively meet the group's requirements. The assistant considers factors like availability, skills, and location to suggest optimal combinations.
  • Visualization: While requirement groups aren't directly visible on the Schedule Board, their individual bookings can be viewed and managed, ensuring all related tasks are coordinated effectively.
